Residence Permit Extension and Work Permit Renewal Guide
Renewal requires checking whether the employment relationship, work permit, residence permit, passport validity, employer records, and city requirements still line up.
Document version: V2.1 (External) | Last updated: 2026-05 | Target audience: Foreign nationals currently working in China who need to extend their residence permit or renew their work permit
First, Understand: Renewal Is Not Just Repeating the First Application
Renewal requires checking whether the employment relationship, work permit, residence permit, passport validity, employer records, and city requirements still line up. Starting late can interrupt lawful work and stay.
Practical Checkpoints Before Renewal
| Area | What to confirm | Why it matters |
|---|---|---|
| Two expiry dates | Work permit and residence permit | They may not expire on the same day |
| Employer status | Company name, address, legal representative, job position | Changes may need to be updated before renewal |
| Passport validity | Remaining validity | It can affect the length of the renewed permit |
| Reusable documents | Which old documents still work | Renewal is not always a copy of the first application |
Common Risk Scenarios
- Starting too close to expiry: the timeline may not allow correction if documents are returned.
- Employer changes not updated: system and counter records may not match.
- Work permit and residence permit are handled out of sequence: one approval can be delayed by the other.
How We Usually Help
We map both expiry dates, assess what has changed since the last approval, check which documents can be reused, and design the renewal order to avoid a status gap.
1. What Is This? Who Needs It?
If you're currently working in China with a Work-Type Residence Permit and a Foreigner's Work Permit, you need to complete two separate renewal procedures before either document expires:
- Work Permit Renewal — extending the validity of your Foreigner's Work Permit
- Residence Permit Extension — extending the validity of the residence permit page in your passportYou need both. Missing either one is a problem. If only one is renewed and the other expires, your legal status to stay in China is compromised.
2. Why Does It Matter? What's the Cost of Getting It Wrong?
- Overstay penalties: If your residence permit expires and you're still in China, you face fines of RMB 500 per day, up to RMB 10,000, and your residence permit is automatically voided.
- Damaged visa record: Overstay records are entered into the system and directly reduce your chances of obtaining any future Chinese visa.
- Work permit lapse: If your work permit expires without renewal, your legal employment status terminates, and your employer cannot continue paying your social insurance or individual income tax.
- Reapplying is far more expensive: If both permits lapse, you'll need to go through the entire application process from scratch — significantly more costly and time-consuming than a straightforward renewal.Start the renewal process at least 60 days before expiration. Processing times in many cities run 30–45 days. Add material preparation time, and waiting until the last week virtually guarantees an overstay.
3. Why Is It More Complicated Than It Looks?
Many people assume renewal means "bring your old documents and get new ones." The reality is more involved:
- Documents need updating: Some documents from your original application may have expired (e.g., medical examination reports, certificate of no criminal record). Validity periods vary by city, and it's easy to confuse which documents can be reused and which must be obtained fresh.
- Employer information may have changed: If your company has changed its name, legal representative, registered address, or if your position or salary has been adjusted, these updates need to be reflected in the system before you apply for renewal — otherwise your application will be returned.
- Some cities require a new medical exam: Not every city requires a fresh health check for renewals, but some will demand one without prior notice. Medical exams require appointments, designated hospitals, and time for results.
- The two renewals operate on different timelines: The processing windows and approval schedules for work permit renewal and residence permit extension are not the same. If you complete one before starting the other, you may find yourself in a "legal gray zone" — one approved, the other not yet submitted.
- Online system vs. counter requirements may not match: The document checklist you see in the online system can differ from what the counter staff actually asks for. This is common, not exceptional.
4. How We Help
Zephyr provides end-to-end renewal coordination:
- Timeline planning: We work backwards from your two expiration dates, factoring in your city's processing times, to create an optimal schedule with no gaps.
- Document audit and reuse assessment: We check every document to determine what can be reused and what needs to be re-issued — saving you unnecessary costs.
- Pre-processing of information changes: If your employer's details have changed, we update the system in advance to prevent your renewal from being rejected.
- Employer change handling: If you've switched companies, the renewal process essentially becomes a "transfer." We manage the transition between old and new employers.
- Full-service processing: From document preparation to counter submission, we handle everything and ensure consistency between online and in-person requirements.
